Insurance Types – Entering

Determine What Type of Insurance the Patient is:

  • The following are the CASE TYPES and Whether Insurance is Involved:
  • C-Cash ——————————————- NO
  • Ch-Charity ————————————– NO – See End of Mth for Write Offs
  • F-Family—————————————— NO
  • MC-Medicare (over the age of 65) ——— YES
  • MCr-Railroad MC (Medicare) ————– YES
  • MM-Major Med (Any patient with INS) — YES
  • PEAK- Students or Peak Patients ——— NO
  • PI-Personal Injury-Auto (Medpay) ——– YES
  • PIL-Liability-Auto (Patient pays) ———- YES
  • TO-Trade Out———————————- NO – See End of Mth for Write Offs

The following are descriptions that are attached to each of the insurance types to note HOW the payment arrangement is setup for the patient. An example would be as follows: ex. CP1-MM-Maj Med. This means that the patient paid in full and has Major Medical Insurance filed for them.

  • CP1 – Option 1 Paid in Full
  • CP2 – Option 2 Bi-Weekly Payment Plan
  • CP3 – Option 3 Weekly Payment Plan
  • CP4 – Option 4 Pay as o

Insurance Files:

Case Types MM, MC, PIL, PI (Medpay)

  • Open Front Desk of ChiroTouch
  • Click Patient Management
  • Click Records
  • Click New
  • Click Folder
  • Label it – INS
  • All Insurance Documents such as EOB’s, Ins Co requests, Ins letters etc. are to be scanned into the Patient record and placed into this folder. (See front office manual for instructions on scanning documents)
  • FOR MEDPAY: Make sure to obtain a copy of the police report and scan that document into their file as well – so if entered in and named correctly it would look like this: Police Report and dat

Entering NP – Insurance Info:

  • Select Patient Management Button
  • Select Patient Name and Select the Insurance Button
  • Look for the Insurance Company
  • Compare the mailing addresses.
  • Select the Insurance Company
  • Then Input the Rest of the Fields based on the Patient CASE TYPE (See Next Section)

NP- Insurance Company NOT in Computer:

  • Go to CT Applications and select ChiroTouch Maintenance
  • Username: ca1/ca2 Password:
  • Go to ‘Payor Information’ tab.
  • Scroll to the very bottom of the list and enter in new insurance information in the blank space.
  • Name, Address, City, State, Zip, Phone #, and Fax #
  • Exit and save.

MC-Medicare:

  • All Medicare Claims are sent electronically on a weekly basis to Gateway EDI
  • For ALL MEDICARE patients, Payment is due at the time of service
  • An example of completed Medicare Insurance Screens are below:

MMajor Med:

  • All MajorMed Claims are sent electronically on a weekly basis to Gateway EDI
  • For ALL MAJOR MED patients, Payment is due at the time of service

An example of completed Major Med Insurance Screens are below:

PI-Personal Injury-Auto (MedPay) – Accepted Assignment:

  • All Medpay Claims are sent via mail on a weekly basis.
  • Medpay patients are to make NO PAYMENTS at time of service based on verified benefits.
  • Medpay patients will be responsible to pay for any charges not paid by the auto insurance.
  • An example of completed PI Insurance Screens are below:

PIL-Liability-Auto:

  • AT THE END OF CARE: Print out attorney statement for Patient’s attorney or other Driver’s Insurance company – this will only show total services rendered and not show any payments that may have been applied by the patient Front Desk -> Patient Mgmnt -> Ledger -> Print -> Statement -> Select Attorney for Statement Type -> Choose Dates of Service -> Click OK and Print it (see print: Statement section of manual for example of report and for how to enter Attorney Information)
  • For all PIL patients, Payment is due at the time of service unless other arrangements have been made.

WC-Work Comp:

  • All WC Claims are sent electronically on a weekly basis to Gateway EDI
  • WC patients are to make NO PAYMENTS at time of service based on verified benefits.
  • WC patients will be billed for any differences in service reimbursement that the Insurance Company has not covered, where applicable and allowed
