Scheduling Next Appointments

All Patients are encouraged to schedule an appointment at the time of checkout: STATISITICS SHOW: People tend to forget to call if they don’t schedule that day. People get busy.

  • Make the Check Out process as smooth as possible. The patient by this time is usually ready to get out of the office and back to their life.
  • SMILE – connect with the patient “You look well rested!”
  • Select patient ready to leave and choose ‘Checkout” from Front Desk Screen

**Pay close attention to any alerts that come up and make sure to complete all alerts before moving forward**

  • Look in Treatment Plan section of ChiroTouch for next appointment Time and Type needed – be sure to scroll through the entire note in this section.
  • Click on the Schedule Tab
  • Choose day needed in calendar then select time requested by patient
  • Click Next
  • Choose the purpose of the patient’s next visit
  • Click OK
  • Click OK again
  • If the patient will not or does not want to schedule, use the excuse eliminators
  • After Scheduling appointment, Click on the Payment Tab

 

Scheduling Script Check Out

  • Review the Checkout Screen in ChiroTouch for next Appointment Needed
  • __________ needs to see you in _ (3 days, 1 wk, 2 wks, 3 wks, 1 mth, 2 mths, 3 mths, 6 mths)_ for __(type of visit)__.
  • _ (Patient Name) _, Do you prefer beginning of week or end of week, Mon. or Tues, morning, or afternoon, 9am or 10:30am? (Always give CHOICES)
  • If Patient Doesn’t want to Schedule (Go to the Next Section on Scheduling Excuse Eliminators)
  • Schedule the Appointment in the System (See Scheduling Guidelines)
  • Write the Appointment down on a reminder card. Hand the card to the patient with a smile and say…
  • “_ (Patient Name) _ We will see you at _(Time)_ on _(Date)
